Welcome to Vederca's Vendor Portal

Vederca connects you with procurement opportunities from leading organisations. This guide explains how the platform works and what to expect at each step.

Private and Public Procurements
Most procurements are private: only the vendors on the procurement team's confirmed list are invited. A procurement team can also open a procurement, which lists it, without the procurement team's name, to vendors with a complete profile in the sectors the procurement team chooses. You register interest from your Procurements page and the procurement team decides whether to invite you. A complete profile matters either way.

What You Get

Joining Vederca is free, and gives you three things:

  • Analytics: how often your public listing and your profile are viewed, including views by people who are not signed in. Those are counted as totals, without identifying anyone.
  • A profile for qualified procurement teams: products, media, clients, case studies, people and certifications, shared with procurement teams Vederca has verified who have accepted the Platform Confidentiality Undertaking and are running a procurement. The people you tick also show on your public listing.
  • Procurements to respond to: invitations to private procurements, and open procurements in your sectors once your profile is complete. Responding is always free.

Your Listing in the Vendor Directory

Vederca publishes a vendor directory that anyone can read, signed in or not, and your company may already be in it. Vederca researches each listing from public sources, such as your website, public registers and published news, and checks it regularly. A listing holds only publicly available information: what you sell, where you operate, the customers and partners you name publicly, and dated public news.

Every vendor applies to get listed: claim your listing if your company is in the directory, or create one if it is not. Vederca reviews each application against the Listing Criteria. A claimed listing links to your account once someone in your team confirms an email address on the listing's own website domain, or once Vederca has verified your company. A new listing stays hidden until Vederca verifies your organisation.

What is public and what stays with procurement teams
Your company name, website, size and year founded can complete your public listing. Once Vederca approves them, your About, logo, tagline, products and photos show on it too. Clients, case studies and people show there only where you switch them on: a person shows with their name, role, photo and About, never their email. Everything else you add is shared only with qualified procurement teams. Your data room is never shared at all; a document from it reaches a procurement team only when you add it to a response.

The listing is Vederca's research, so you do not edit it directly. If something in it is wrong or out of date, ask for a correction through Support.

The Vendor Journey

Your journey on Vederca follows a clear path from signup to the outcome of each procurement. Here's how it works:

1. Create Account
Sign up and set up your organisation
2. Build Profile
Add products, certifications, and case studies
3. Receive Invitations
Procurement teams invite you to relevant procurements
4. Submit Response
Answer the requirements, attach evidence, complete the commercial section and submit

Creating Your Account

Choose Sign up on the sign-in page, then List software. You provide:

  • Country and registered organisation name
  • Registration number: Australian organisations enter their ABN (and optionally their ACN), which is checked against the business register; other countries use their local registration number
  • Work email: an address on your company's domain is quickest to verify, though a personal address is accepted
  • Full name and job title

You confirm you are authorised to act for the organisation and accept the Terms of Service and Privacy Policy. Vederca then emails a confirmation link: click Confirm email and sign in and your portal opens.

No passwords
After that you sign in with a single-use link emailed to you, or with Google. There is no password to remember or reset.
First User Becomes Admin
The person who creates the account becomes an organisation admin. You can invite team members from Team, in the account menu behind your avatar.

Understanding Roles

Vederca has three vendor roles:

Admin
Manages the company profile, products, data room and team. Accepts or declines invitations, signs NDAs and submits responses. Can do everything a Member can.
Member
Works on live responses: answers requirements, adds documents and evidence, and asks clarification questions. Can read the company profile but not change it.
Viewer
Read-only. Sees procurements, responses, the profile and the data room, and can ask Kai questions, but cannot change anything.

Why Profile Completeness Matters

When the Vederca team proposes vendors for a procurement, or a procurement team adds vendors to one, they search the vendors registered on Vederca by name and filter by:

  • Industry
  • Sectors served (Government, Healthcare, Financial services and so on)
  • Capabilities
  • Company size
  • Verified vendors only

Verified vendors and vendors with a filled-in profile are listed first. For most procurements the Vederca team proposes a vendor list and the procurement team confirms it, and both read your profile to decide.

Incomplete Profile = Fewer Invitations
Procurement teams can only judge what your profile tells them. A complete profile is also what lets you see open procurements and start profile analytics, so finish it before procurements launch.

What Happens After Signup

Once you've created your account, your Home page shows four setup steps until they are done or your first invitation arrives:

1

Upload your company logo

Shown on your profile and in procurement evaluations.

2

Add your first product

Procurement team requirements are matched against your products. Every product needs a name, category and short description.

3

Complete your company details

Industry, description, website, headquarters, company size, sectors and capabilities. Home lists what is still missing.

4

Invite your team

Colleagues can help respond to procurements.

Staying On Top Of Things

Invitations, reminders and decisions arrive by email and in the notifications bell at the foot of the sidebar. Anything waiting on you, such as an invitation to answer, an NDA to sign or a profile gap, is counted on the Profile and Procurements items in the sidebar, and each page lists what needs you there with a link straight to it.

What it costs

Vederca never charges vendors to respond to procurements. Every procurement on Vederca is commissioned and paid for by the procurement team.

Vederca Plus is an optional subscription, at US$349 a month, for more room for media and documents (up to 20 photos on each product page instead of 8, 3 videos of up to 60 minutes instead of 1 of up to 30, 5 About section videos of up to 20 minutes, and a data room of 100 documents instead of 25), advanced profile analytics with up to 52 weeks of history, and more Kai on your profile (80 messages a day instead of 5, and a profile review every 14 days, with a follow up, instead of one). Every vendor builds the same profile, case studies, certifications and client references included, on any plan. Kai on your procurements guides you through each procurement, never writes your response, and is the same for everyone. Plus never affects who is invited, how responses are evaluated, or who is recommended.

AustraliaA$500 plus GST
United StatesUS$349
United Kingdom£279
Countries that use the euro€319
New ZealandNZ$549

There is no cost to join, list, ask clarification questions, submit, be evaluated or receive feedback on your response where the procurement team agrees to share it. Vederca charges no fee when a contract is awarded and takes no share of its value. Every invited vendor has the same access, and no payment of any kind affects who is invited or how a response is scored.

Next Steps

Now that you understand how Vederca works, it's time to build your profile. Start with your company details and products, then add the evidence you reuse across tenders to your data room.
